Overview:
This position is located in our Worcester, Massachusetts office. The Administrative Supervisor manages the administrative support functions within the Branch, including inventory variance reconciliation, the credit process, customer service, communications systems, accounts payable, switchboard and mail services.
Responsibilities:
This position will:
- Develop, train, and cross-train administrative employees in their responsibilities to ensure proper support to the branch office.
- Reconcile on-line and off-line inventories on an on-going basis. Identify and investigate variances and, upon approval, make appropriate adjustments. Keep General Manager apprised of any significant developments.
- Take a leadership role in the organization of annual physical inventory.
- Be an active participant in the quality process and the processing of Corrective Action Reports from customers.
- Coordinate ISO Audit documentation and Sarbanes compliance documentation.
- Document meeting minutes for regular quality meetings, management (QIT) meetings, and safety meetings.
- Oversee the receipt, verification and processing of all vendor invoices in a timely and accurate manner. Ensure invoices are batched and entered, and that related accounts payable files are maintained.
- Ensure all telecommunications equipment is operational and notify appropriate services when problems arise. Follow-up to ensure corrective action has occurred.
- Train and supervise switchboard operators to receive and direct all incoming calls in a timely and courteous manner. Provide for the training of users on the features of phone systems.
- Coordinate local Human Resources communications including benefits, open enrollment, and confidential employee files (performance reviews, etc)
- Arrange for outside janitorial services and oversee employee office maintenance personnel.
- Ensure that office space is well maintained and that office furniture and fixtures are repaired as necessary.
- Evaluate work of subordinates and conduct timely performance appraisals.
- Approve buyouts, review branch inventory requirements, disposition of material, and credits.
Qualifications:
Education:
- High School diploma or equivalent required
- BS in business, marketing, or similar field, or equivalent, strongly preferred
Skills/Abilities:
- PC literacy; exposure to Oracle helpful
- Strong interpersonal skills
- Good verbal and written communication skills
Experience:
- Requires three (3) years general office experience, including exposure to accounts payable, inventory control, telephone systems
