Position Summary:
ACCO Brands Corporation, one of the world’s largest suppliers of branded office products, with annual revenues of nearly $2 billion, is seeking a Facilities Assistant.
Responsibilities will include:
*
Coordinates facilities portion of employee on boarding and termination including nameplates, seat assignments and photo badges and updating the related employee databases such as the IVIS photo database and the mail distribution list providing accurate information to the department.
*
Coordinates day-to-day activities related to the relationship between ACCO and contractors such as Van Vlissingen (property manager), Glenbrook (security guard) and IKON (office services), ARAMARK (Foodservice) supporting communications, processes, performance, and performance evaluations. Participates as a member of the operations and customer review team.
*
Coordinates day-to-day work order requests coordinating response from contractors and facilities team including coordinating furniture acquisition and delivery, scheduling and overseeing installation crew, and supervising on site telecomm and electrical contractors and remote vendors.
*
Coordinates facilities purchasing functions including office supplies, branded items, business cards and stationery, and ACCO products for the department and headquarters office. Also prepares charge back reports for accounting.
*
Coordinates departmental finance and administrative functions including invoice processing, chargebacks, reporting, records storage, building access, health club, key inventory and distribution, conference room utilization, and other facilities functions as assigned.

Maintains employee information on CADD program for recordkeeping and space planning.
*
Coordinates the web based processes that support the operation including electronic work orders, records management and supply ordering systems. Also utilizes internal systems such as ICIMS, Remedy, Oracle, IVIS.
*
Assists Manager as required in developing new project requirements, identifying scope, cost, feasibility, and resources. Coordinates design related activities using Auto CADD system to generate base plan drawings for new projects to determine feasibility, furniture and construction requirements, minimizing cost for outside design services.
*
Serves as back up to the Manager and is available 24 hours a day via cell phone.
Position Qualifications:
* Two years of college (Preferred facilities or accounting concentration)
* Minimum of Three+ years corporate office experience in facilities or office services.
* Strong computer skills with emphasis on Excel database and accounting
* Strong customer services and communications skills
* Attention to detail
* Strong time management skills
* CADD experience preferred
